Report Writing Policy - Fee Paying Clients

1. Purpose:

The report writing policy at Insight Clinic Mental Health Services aims to maintain clarity, consistency, and ethical guidelines in documenting client sessions and progress. This policy outlines the process, limitations, and costs associated with report-writing services, while also addressing the conditions under which information may be shared with third parties, including legal entities.

2. Report Writing Fees:

The fee for report writing services is 180 AUD per hour or 180 AUD per 500 words. This cost covers the time, effort, and expertise required to generate accurate and comprehensive reports for clients. Clients will be informed of the total fee based on their selected option before the service begins.

3. Eligibility for Report Writing:

Reports will be written only for active clients who are currently engaged in therapy or treatment at Insight Clinic Mental Health Services. Clients who have been discharged or are not currently engaged are not eligible for report-writing services. Clients must attend a minimum of three sessions before a letter or report can be written to ensure the clinician has a sufficient understanding of their circumstances.

4. Advocacy Letter:

A brief advocacy letter, limited to 100 words, can be provided free of charge during the client’s session. The letter is intended to support the client’s needs in specific situations that require concise advocacy.

5. Report Content:

Reports will include relevant information related to the client’s progress, treatment goals, therapeutic interventions, and other necessary details that support the client’s well-being and needs.

6. Turnaround Time:

The standard turnaround time for report writing is 2 weeks. Expedited services may be available upon request and are subject to additional fees.

7. Privacy, Confidentiality, and Legal Disclosures:

All reports generated by Insight Clinic Mental Health Services adhere to strict privacy and confidentiality standards. Information will only be shared with relevant parties with the client’s explicit consent or as required by law.

We do not write reports for legal entities, courts, immigration agencies, or insurance agencies, unless mandated by a court, subpoena, or required by law. If mandated by a court subpoena or court order, we are legally obligated to release the requested documents. Additionally, if there are concerns about risks to the safety of the client, others, or the community, we may release relevant information to a third party without the client’s consent to ensure safety, as required by law.

8. Payment:

Clients will be informed of the total fee for report writing prior to the start of the service. Payment is expected at the time of report delivery.

When a client pays for a report out of pocket:
Total Fee: AUD 180 x Number of Hours (GST-Free)

When an external provider (other than the client) pays:
Total Fee: AUD 180 x Number of Hours + GST

9. Review and Amendment:

Clients have the right to request reasonable amendments to their reports within a specific timeframe. Insight Clinic Mental Health Services will work collaboratively with clients to ensure the accuracy and fairness of the report.

10. Policy Updates:

This report writing policy is subject to periodic review and updates. Any changes will be communicated to clients in a timely and transparent manner.
